Introduction to the Grocery Delivery Service
Thanks for joining the Student Volunteer Army’s nationwide response to COVID-19. During the pandemic, many of us can still go to the supermarket but for some people there are barriers.

This is where you come in.

Get started
COVID 19 and keeping yourself safe
Your support is hugely appreciated and we love that you want to get involved and help essential services in Aotearoa.

Now that you're part of the SVA, you're part of our whanau and that means your wellbeing is the most important. We want you to be safe and well during this time to help our essential services.

  1. Wash your hands and Sanitise: It's really important that you use good hygiene. Regularly wash and thoroughly dry your hands and apply hand sanitiser. Always use good cough and sneeze etiquette by sneezing or coughing into your elbow.
  2. PPE: You must wear the appropriate 'PPE' (Personal Protective Equipment) that is required at all times.
  3. Social distancing: We strongly encourage that you ensure you're practising social distancing by maintaining 2 metres (3 is even better) between yourself and others and not being in physical contact with people that are not in your bubble.

Understood, next section!
Who is eligible for the grocery service?

Those who are eligible are:
  • New Zealanders aged 65 or over,
  • Those that work in essential services;
  • Those in self-isolation,
  • And anyone that needs it (due to medical or personal situation).

This service is for those who can't make it to the supermarket. This is not a shopping service for all of New Zealand.

You can't always tell why someone needs the service, so it is important not to judge. For example, someone experiencing mental health challenges, who otherwise look fine, may have requested the service.

If you feel a person is abusing the system, please do let us know and we can look into it. Often, even if they have a flash house, there is a genuine reason why they are using our service.

Excellent, I am ready for the next section
How does it work?
Our grocery service coordinators contact volunteers as orders come in. You will get a call or text asking for your availability and your delivery team lead will then give you all the information you need if you are available. You can let them know what works best for you and then these need to be delivered within 24 hours.

Your grocery service coordinator will support you with all you need. They will send you an email with an order sheet of the items that you need to pick from the shelves at the supermarket and deliver to the address on the top of the paper. You can deliver them right away or the following morning but please check in with the customer first.

For payment, you charge the items to SVA's account at the supermarket and send us the receipt. We then capture the payment remotely from the customer's credit card.

Once you've received your order form, give the customer a call and organise a time with them for you to do the order. For many people we deliver to, this is more than just a grocery service and provides them with a friendly person to have a chat with. It's all about creating a positive experience for the customer and also for you! You can always call the customer if you have questions, such as "there is no mince, shall I buy you beef instead?"

Once you get to the supermarket, you are just like an ordinary customer, however, just ask a manager if you need any support.

Finally, volunteer and customer well-being is our FIRST PRIORITY, so ensure you understand and follow the below precautions:

  1. Ensure you are well: Always ensure you're healthy
  2. Sanitise hands: Regularly sanitise your hands, particularly when you're entering and leaving the store, before handling grocery items or bags and dropping off groceries.
  3. Maintain two-metre distance: It's paramount that you always keep a two-metre distance at all times, especially around customers.
  4. Wear your SVA t-shirt (if you have one): This makes you identifiable to authorities and customers when performing an essential service.
  5. Wear a mask at all times.

What's next?
The process you need to follow
keyboard_arrow_left
keyboard_arrow_right
  • Step 1
    Order form & PPE

  • You will be sent your order(s) from your grocery service coordinator. Once you've received your order, please give your customer a call to let them know when you will be delivering their order and to see if they have any specific requests.

Please sanitise your hands prior to touching groceries and keep good hygiene throughout this service.

Masks are compulsory, please follow the Ministry of Health guidelines for the most up-to-date requirements. Supermarkets will have spare masks if you need them.

  • t3nvPh1Dmeu_CEYv-1.jpg

  • Step 2
    Fill your trolley

  • When you get to the supermarket, identify yourself to the check-out manager. Let them know you are from the Student Volunteer Army and are doing a shop for us and that you will be charging the items on the account. If there is ever any confusion here, please contact your delivery team lead.

Open your order form and collect the items on the shopping list(s). Always ensure you keep each customer order separate in your trolley to avoid mix-ups.

It is vital you stick to the authorised amount shown at the top of the order form. Pricing is only an estimate on SVA's website with payment taken after delivery. You cannot go over the authorised amount.

When choosing an item, if the item is out of stock, please ensure you choose an item of equal or lesser value and be sure to stick with the same product (eg don't swap butter for margarine).

Make smart decisions about what to swap, eg, if one kind of meat is not available, get another kind so the person can cook a full meal for dinner. If possible, give the customer a call and they can let you know what substitutes they're happy with.

  • Fruit and vegetables are displayed in weight or amount. As a guide, 300g of carrots is 3 x carrots. Please read this carefully as we need to make sure people are getting the correct amount of fruit and vegetables!

Don't worry too much if you can't find everything on the list, sometimes things are out of stock and that's just the way it is.

If the total has exceeded the authorised amount, please use your judgement and return an item.

  • Step 3
Process order(s) and send in customer receipts

  • Once you're at the checkout, notify the checkout operator that you are with Student Volunteer Army, have your order form ready for identification if you need it.

Process one order at a time.

The supermarket provides the bags and there is no cost for these. If they do charge you, don't worry, carry on and add them to the order.

If the total has exceeded the authorised amount, please use your judgement and return an item.

If the groceries are going to be in your car for a while, please ask the supermarket for some newspaper to wrap the chilled and frozen items in, and if you can keep a chiller bag in your car, even better! It's super important we keep the customer's food cold during the journey from the supermarket.

  • For the payment, the checkout operator will ask for the Order ID (which you will find at the top of the form) and you will need to sign the receipt at the end.

Always request two customer receipts. One receipt goes in the customer's bag. Please write the order number on both receipts.

You need to keep the other receipt and send a photo of the receipt to your grocery coordinator as proof of purchase. Please add your name and the order number to this receipt so we know where you have been  :)

Please file your receipts in a safe place if you need to reference this at a later date.

  • Step 4
    Deliver Groceries

  • For each drop off you will need to do the following:

    1. Write the name of the customer and number their bags (e.g. if there's 3 bags; 1/3, 2/3, 3/3)

    2. Call or text the customer again on the way to to the delivery to let them know their order is arriving soon. If you tried calling and got no answer, send a text so they know to expect you. Double-check you have the right address if you manage to speak to the customer.

    3. Sanitise hands before getting out of the car. Place the groceries at the front door. Remember to get a photo of the groceries being delivered as it is needed to complete the order.

    4. Knock on the door with a closed fist. Please promptly step back (we like to be extra safe with 3 metres) from the customer if they answer.

    * If you get no response, ensure the groceries are hidden out of public view and leave a message with the customer (text or phone call) to confirm where you've dropped them off.

  • Step 5
    Complete the Order

  • The last thing you have to do is let your delivery team lead know that the order is sent. Email them the order receipt from the store as well as the photo of the delivery being completed. These should look as follows:

You can reply to the order form you received with this information.

  • If you have any problems or questions, please do not hesitate to get in touch with your grocery coordinator or 0800 005 902.

That's right!
I use my judgement and put an item back - its important to not go over the authorised amount as we can only charge the customer up to this amount. SVA have to cover any extra amount spent.
